Policy Overview
At Orane International College Canada, safeguarding the health, safety, and welfare of our students, staff, and visitors is a shared responsibility and a top priority. This policy sets out a comprehensive framework for responding to critical incidents with clarity, care, and efficiency.

Aim
To guide the college community through the appropriate response, support, and recovery processes following any event that significantly disrupts the learning environment or poses a risk to personal safety.

Who It Applies To
This policy applies to all members of the Orane International College Canada community, including students, faculty, administrative staff, contractors, and campus guests, across all college locations and activities.

Key Terms

  • Critical Incident: A sudden event—such as a natural disaster, medical emergency, threat of violence, or serious accident—that may endanger people or operations on campus.
  • Crisis: A critical incident that requires urgent and coordinated intervention due to its magnitude or complexity.

Goals of the Policy

  1. Promote and ensure both physical security and emotional well-being for every being on the campus.
  2. Facilitate swift, organized decision-making during high-pressure events.
  3. Maintain clear and compassionate communication internally and externally.
  4. Provide timely access to counselling and health supports.
  5. Evaluate and revise safety protocols following every incident to ensure continuous improvement.

Crisis Response Leadership

A designated Critical Response Group (CRG) will lead the coordination during any incident. Members may include:

  • Campus Supervisor
  • Director of Operations
  • Senior Instructor or Academic Lead
  • Student Welfare Advisor
  • Communications Liaison

Each member brings specific expertise to ensure decisions are made quickly and effectively, with support for those affected.

Roles & Expectations

  • All Staff: Respond calmly, assist in evacuation or sheltering, and follow CRG directions.
  • Students and Visitors: Cooperate fully with staff and report safety concerns promptly.
  • Communications Liaison: Handles updates and official messaging during and after the incident.
  • Health & Safety Officer: Ensures that medical aid and mental health support are accessible.

Response Stages

  1. Initial Response
    • Call 911 if immediate danger is present.
    • Notify the on-site supervisor or designated emergency contact.
  2. Situation Assessment
    • The CRG assesses the incident to determine whether localized action or a full-scale emergency response is required.
  3. Activation of Emergency Protocols
    • May include lockdown, evacuation, or shelter-in-place procedures.
    • Collaboration with emergency services begins, if needed.
  4. Support & Communication
    • Counselling and medical support is made available.
    • Clear updates are shared via SMS, student portal, email, or loudspeaker systems.
    • Families are contacted with sensitivity when applicable.
  5. Documentation & Review
    • An internal incident report is submitted within 48 hours.
    • Feedback may be collected from involved parties for future learning.

Post-Incident Recovery

After an event:

  • Support services remain available for students and staff.
  • Faculty and staff debriefings are held to discuss what occurred.
  • The CRG conducts a full review to identify lessons learned and updates required.

Preparedness & Prevention

  • All employees are trained in emergency procedures at the time of onboarding and through refresher sessions.
  • Regular emergency drills, including lockdowns and fire evacuations, are conducted annually.
  • The policy and related procedures are reviewed every year or following a major event.
